Job Purpose and Role

The Operations Manager provides administrative and operational support to the Chief Executive Officer (CEO) of the company (One of our Clients).

Duties and Responsibilities:

  • Check and answer the phone. Check emails and communicate with team members on needs.
  • Purchase necessary office supplies, business cards, notes and other marketing collaterals.
  • Manage Teamwave tasks (daily activities, projects, and etc.)
  • Manage Scorecard and Weekly Financial Reporting  (KPI’s, Q priorities, Revenues, Prospecting, and etc.).
  • Maintain and manage CRM – Teamwave.  
  • Prepare Teamwave related items for meetings and meeting agenda related items (run weekly meetings and huddles).
  • Download Austin Title stats to Education File on Gdrive (15th of each month) and update Residential Market Charts. 
  • Update Commercial Market Comparison charts.
  • Support with Pop-bys throughout the year including delivery/purchase as needed.
  • Oversee CTC person – Contracts/amendments/forms to broker, title co & lenders + Manage greensheet process on each file.
  • Oversee CTC person – manage contract docs, amendments and associated docs for Buyers and Sellers.
  • Oversee CTC person – contract to close duties including vendors/contractors/agents as well as clients (4 touches).
  • Put Buyer books together.
  • Do CMA’s
  • Put listing presentations together – Analysis, Estd Net Sheet, Timeline and Marketing plans together.
  • Onboarding listings – Staging, marketing, Photos, lockbox/sign to property, MLS/upload docs, LB on MLS & CSS Scheduler.
  • Listings – Help implement marketing plan – campaigns, put on property tour, update status in MLS as needed.
  • Manage weekly feedback and put together a weekly email of feedback to the agent (due Wed). Check Supra Website for list.
  • Oversee CTC – Create, manage and maintain contracts etc in Dotloop as well as in client files for Buyers and Sellers.
  • Set-up and manage client files in Gdrive (potential, active, closed).Update with important docs ongoingly and after closing.
  • Relo packets ready to send (3) and updated.
  • Create new templates as needed. 
  • Research, integrate and manage new systems and platforms for the team.
  • Onboarding employees – Policy Manual, Employment Contract, Gusto, Bookkeeping Intro, Email set-up, Website,Access to Software.
  • Exiting Employees – Exit interview, remove all access and remove from website.
  • Hold team members accountable on deliverables related to operations, meeting deliverables, company guidelines.
  • Protect and espouse the culture and core values of the company.
  • Quarterly Stats for quarterly meetings (from Tracking Spreadsheet).
  • Create a Pop-by list (monthly) for next year DECEMBER YEARLY.
  • Update Yearly Business Goals.
  • Plan yearly CAP Party (or other events).
  • Handling agent disbursements from closings and working with bookkeeping on all payroll matters.
  • Send DA and Breakdowns 3 days prior to the end of the month to the bookkeeper so they can reconcile all commission deposits.
  • Provide all necessary items to bookkeepers and CPA’s.
  • Run monthly financial reports for TMG and provide by 13th.

Qualifications:

  • Proven work experience as an operations manager or similar role.
  • Knowledge of organizational effectiveness and operations management.
  • Familiarity with business and financial principles.
  • Excellent communication skills.
  • Leadership ability.
  • Comfortable with leading and making decisions that will be time sensitive that will require them figuring things on their own.
  • Comfortable with handling financial statements, wires, managing multiple accounts, and working with bookkeepers.

Location: Fully Remote

Schedule: Full Time, Monday – Friday, 8:30 AM – 6 PM CST (Flexible as needed)
