Job Purpose and Role
We’re hiring a self-sufficient, proactive Senior Virtual Assistant to support our founder and help run operations smoothly behind the scenes. You’ll wear many hats—from handling administrative tasks to managing hiring pipelines and troubleshooting daily issues. You must thrive in a fast-paced, ever-changing environment and care deeply about your work.
Key Responsibilities:
Administrative & Operational Support
- Answer incoming phone calls from guests, delivery drivers, and partners during operating hours
- Triage operational issues (POS, internet, devices) with managers and vendors
- Monitor and respond to Square (POS) dispute resolution documentation
- Maintain and update detailed weekly time tracking logs
Recruiting & HR Support
- Post jobs, monitor applications, and screen resumes via Indeed and other platforms.
- Follow up with applicants and schedule interviews.
- Help build an effective hiring pipeline for in-store team
- Assist in resolving staffing gaps quickly
Marketing & Guest Engagement
- Respond to guest reviews across platforms (Google, Yelp, UberEats, DoorDash)
- Collect and organize viral/trending videos daily (6 per day) for marketing purposes
- Support basic marketing tasks (social media, updates, reviews, etc.).
- Coordinate promotions or campaigns (if needed).
- Draft weekly email marketing campaigns in Square
- Upload social video content and support ongoing marketing tasks
Executive Assistance
- Manage and protect the owner’s calendar and availability
- Direct meeting requests via booking link and screen for relevance
- Ensure smooth communication and prioritization of requests
- Act as a gatekeeper to reduce founder distractions and manage priorities.
Rental Property Support (As Needed)
- Respond to tenant issues (via Buildium)
- Support lease documentation and communication with real estate contacts
Key Qualities:
- Highly dependable – You follow through and take initiative.
- Fast learner – Comfortable figuring things out with minimal handholding.
- Adaptable – Food service is fast-moving and sometimes chaotic.
- People-first mindset – You’ll help keep things smooth for both staff and customers.
- Strong written and verbal English communication skills.
- Experience working with food trucks or restaurants/hospitality industry is a plus but not required.
Schedule: 30 hours per week (Wednesday – Sunday, 7 AM – 1 PM CST)
