Job Purpose and Role
An Executive Assistant manages the administrative tasks of senior officials within an organization. An executive assistant is someone seasoned and well experienced in assisting the executives with over 5 years of experience.
Duties and Responsibilities:
Client Support:
- CRM entry/updates/management: Includes ordering client items etc
- Setting showings appointments: itinerary, seller timeframes, directions, links time at each place, sec/gate code, entry instructions, seller protocols, etc
- Following up with prospects/clients: as needed
- Open Houses and listings support: light training for covid, marketing, timing to arrive, sheets
- Running CMA’s and crafting market analysis’
- Drafting of contracts: Putting together drafts of contract offers/docs and handling amendments
- Vendor/contractor/trades coordination
- Off-market portal posts: posting weekly as needed on all platforms, checking message boards for matches, checking dm’s for matches, checking websites
Team Related and Administrative Duties:
- Filter and respond to my emails daily
- Manage schedule and calendar fully
- Support/execution of executive’s accountabilities to others (employees, clients, partners, vendors etc) or company needs
- Support in interviewing, hiring and onboarding new employees if/as needed
- Support management with employee needs and situations including holding others accountable on team as needed
- Function as main point of contact for the executive as much as possible
- Supporting executive in their weekly KPIs if/as needed
- Update position training guide/SOP as you go with video
- Source market, economic, civic, developments articles
- Work with bookkeeper on bills, paying invoices if needed, send explanations on entries, make cc payments
- Coordinate, schedule, organize quarterly market update – videographer, timing, location, interviewer, video editor
- Support on one-off bills as needed
Personal:
- Handling one-off bills and coordinating with my bookkeeper on personal and investment properties.
- Make credit card payments
- Coordinating one-off house needs including vendors/contractors
- Support in rental property situations that arise
- Sourcing travel options and Booking flights
- Digital filing
- Coordination and sourcing one-off needs around executive’s family and daughter
- Calendaring support
- Monthly quick scan accounts and credit cards, check for out of ordinary charges
Business Development, Lead Generation Initiatives, and Marketing (Sample of tasks that may be worked on overtime):
- Relocation Program: researching companies, research HR contacts, help put together decks, send out emails or repeated campaign steps
- Client referral program: locally, nationally, globally. Help create database of agents in other markets we like and help create campaign/manage sending out campaign to clients
- Taking over retiring realtors client bases: research retired agents or near retirement single agents, help support campaign to set-up meetings and send initial emails
- Annual Market Analysis to past clients to clients: putting together needed data and package with client’’s analysis and manage printing/sending
- Support: Possible support around SM campaigns using AI technology
- Research: Research and create presentations, reports, decks etc as needed
Qualifications:
- Minimum of 1-3 years experience in an executive level support role.
- Strong working knowledge of Microsoft Office Suite and Google applications
- Excellent communication skills – written and verbal
- Resourceful and positive approach to problem solving and willingness to go the extra mile
- Outstanding organizational, time management skills and a great eye for detail.
- Ability to give and receive candid feedback professionally
- Experience working for a Real Estate brokerage, Real Estate Investment firms, and Property Management is helpful but not required.
Location: Fully Remote
Schedule: Full Time, Monday – Friday, 9 AM – 6 PM CST (Flexible as needed)
