Job Purpose and Role

We’re looking for an HR Coordinator focused candidate with experience in onboarding/ offboarding, administrative support, data tracking, documentation, and systems management. The ideal person is highly detail-oriented, organized, process-driven, and comfortable working with spreadsheets, audits, follow-ups, and maintaining accurate records across multiple systems.

Key Responsibilities:

Consultant Lifecycle Coordination

  • Assist with onboarding and offboarding processes for consultants, ensuring all required steps are completed accurately and on time
  • Coordinate offboarding activities including sending communications, deactivating system access, and arranging laptop returns
  • Send reminders and follow-ups to ensure required documentation or updates are completed
  • Maintain trackers to ensure all onboarding and offboarding steps are properly documented

Administrative Monitoring & Follow-Up

  • Review reports, activity records, or system data to identify missing information or inconsistencies
  • Flag incomplete records or potential issues for the team to review
  • Send reminder emails or follow-ups regarding missing information or required updates
  • Monitor consultant information across systems to ensure records remain complete and accurate

System Integrity & Data Audits

  • Conduct data integrity audits across internal systems such as Salesforce, Rippling, and other operational tools
  • Compare records across systems (e.g., Rippling vs. Salesforce) to ensure consistency and accuracy
  • Identify discrepancies or system issues and escalate them to the appropriate team member
  • Assist with credential verification and maintenance for consultants

Documentation & Process Management

  • Update and maintain internal operational documentation, policies, and process guides
  • Maintain internal trackers and ensure records are organized, accurate, and up to date
  • Identify missing updates or overdue items that require follow-up
  • Assist with maintaining operational workflows and improving documentation processes

Operational Administrative Support

  • Assist the operations team with routine operational and administrative tasks
  • Respond to basic administrative inquiries and route more complex questions to the appropriate team member
  • Assist with compiling basic data summaries or reports when requested
  • Track recognition for internal company recognition initiatives and award ceremonies


Qualifications:

  • 2+ years of experience in operations, HR coordination, administrative support, or similar roles
  • Strong attention to detail and organizational skills
  • Excellent written communication skills
  • Ability to analyze information and identify discrepancies
  • Proactive problem-solving and critical thinking skills
  • Comfortable working in a fully remote, fast-paced environment


Technical Requirements:

  • Proficiency with Microsoft Office tools, especially Excel
  • Experience with Salesforce, Microsoft Planner, or similar project/CRM systems is a plus
  • Ability to manage and audit data across multiple systems


Preferred Qualifications:

  • Prior experience supporting HR operations, onboarding/offboarding, or workforce operations
  • Advanced Excel skills (data validation, reporting, basic analysis)
